Elite VA Services
Privacy notice
Last updated: 5 October 2026
This notice explains how we use personal information when you visit this website or contact us about our services. It covers website visitors and enquiries. Information handled on behalf of clients is covered by the relevant client agreement and instructions.
Who is responsible for your information?
Gemma Betts, trading as Elite VA Services, is the data controller for enquiries and business correspondence.
Address: 43 Daleside, Greetland, HX4 8QD, United Kingdom.
Email: gemma@elitevaservices.co.uk.
What information we use
If you contact us, we receive the information you choose to provide, such as your name, email address, business details, support requirements and correspondence. Please avoid including sensitive personal information or confidential information about other people in an initial enquiry.
Our hosting and delivery providers may process technical information such as your IP address, browser information and request logs to deliver and secure the website.
How the support brief works
The brief builder prepares your text in your browser. It does not submit your answers to Elite VA Services or save them in a website database. Copying a brief places it on your clipboard; downloading saves it on your device. Selecting “Email my brief” opens your email app with the brief included. We receive it only when you send the email. Your browser, device and email provider may handle or retain this information under their own settings.
Why we use information and our lawful bases
- Responding to enquiries and arranging support: our legitimate interests in answering business enquiries and communicating with potential clients. Where you personally request steps towards a contract with us, we may rely on taking steps at your request before entering a contract.
- Delivering and securing the website: legitimate interests in providing a reliable website, preventing misuse and resolving technical issues.
- Meeting legal obligations: where applicable, we use information to comply with legal requirements.
Providing information is voluntary, but without enough contact details or information about your requirements we may be unable to respond meaningfully. Sending an enquiry does not sign you up to marketing emails. We do not make decisions about you solely through automated processing.
Who may receive information
We use Google Workspace to receive, store and manage business email. This website is hosted through OpenAI Sites, with Cloudflare providing hosting and delivery infrastructure. These providers may process information necessary to provide their services. We may also disclose information when required by law or where necessary to obtain professional advice or establish, exercise or defend legal claims.
International processing
Our service providers operate internationally, so information may be processed outside the UK. Google Workspace’s data processing terms provide for international transfer mechanisms, including applicable adequacy arrangements and contractual safeguards. Details are available in Google’s data processing terms. Website infrastructure providers also describe their processing in OpenAI’s privacy policy and Cloudflare’s privacy policy. Contact us for information about the safeguards relevant to your information.
How long we keep information
Enquiries that do not become client engagements are retained for up to 12 months after the last contact, then deleted, unless a legal requirement or an ongoing dispute requires longer retention. If you become a client, relevant correspondence forms part of the client record and is retained according to the engagement, applicable legal requirements and the need to establish or defend legal claims. Copies may remain temporarily in service-provider backups according to their deletion cycles.
Your rights
Depending on the circumstances and lawful basis, you can request access to your information, correction of inaccurate information, erasure, restriction of processing or transfer of information.
You can object to processing based on legitimate interests, including our handling of enquiries, for reasons relating to your particular situation. We will consider your request under the applicable data protection rules.
Contact gemma@elitevaservices.co.uk to exercise your rights. We may need to verify your identity. We normally respond within one month, subject to any permitted extension.
Cookies and similar technologies
The website code does not add advertising cookies, analytics trackers or browser storage for your brief. Hosting infrastructure may use technologies necessary for delivery or security. This notice does not cover cookies used by an email service when you leave this website. We will review this information before introducing analytics, advertising or other tracking features.
Questions and complaints
Please contact us first if you have a concern about how your information is used. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113, or write to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.
Updates to this notice
We will update this notice when our services or information handling change. The date above shows when it was last updated.
